Office Assistant for a Mental Health Private Practice

We are seeking an Office Assistant who demonstrates excellent customer service, a strong work ethic, and the ability to multitask in a fast-paced environment. This role is essential to ensuring that clients-both new and existing-feel supported when scheduling appointments, asking questions, and engaging with our practice.

Location: Hybrid - Primarily remote with occasional in-office support

Schedule:

• Probationary Period (30 days): Part-time, 15 hours per week (schedule to be determined with supervisor)
• Post-Probation: Full-time, 40 hours per week, Monday-Friday, 8:00 AM - 5:00 PM

Reports to: Office Manager

Responsibilities

•Serve as the first point of contact for clients by answering and directing phone calls, emails, and messages with professionalism and warmth.
•Assist new clients with scheduling, intake forms, and providing information about services.
•Support existing clients with scheduling, rescheduling, and billing-related inquiries.
•Coordinate with clinicians and administrative staff to ensure client needs are met.
•Perform accurate data entry in the Electronic Health Record (EHR) system.
•Verify insurance benefits and communicate coverage details to clients as needed.
•Maintain confidentiality in accordance with HIPAA and WCM policies.
•Participate in scheduled staff meetings and provide administrative support as assigned.
•Occasionally visit office locations for administrative or housekeeping tasks.

Qualifications

•2-3 years' experience in medical office, customer service, or administrative support (mental health/healthcare experience preferred).
•Excellent communication and interpersonal skills with a client-centered approach.
•Strong organizational and multitasking abilities; able to prioritize competing demands.
•Proficiency with EHR systems, Microsoft Word, Excel, and general office technology.
•Attention to detail and accuracy in scheduling and data entry.
•Ability to collaborate with a team while also working independently.
•High ethical standards, reliability, and discretion in handling sensitive information.
