Location: Dallas, Texas
Pay: $17.00 - $20.00 per hour
Job Type: Full-time

We are currently seeking an Office Administrator to join our dynamic Entering Wellness team in Dallas, Texas ! This full-time role is ideal for an energetic, motivated individual who thrives in a fast-paced environment and enjoys supporting a leadership team. The successful candidate will possess strong administrative skills, impeccable attention to detail, and a passion for helping others.

Key Responsibilities:
  • Welcome visitors to the office and manage incoming calls, routing inquiries to the appropriate team members.
  • Oversee daily office activities to ensure efficient operations and compliance with company policies.
  • Provide administrative support to clinical staff, including scheduling and managing documentation.
  • Support our outreach marketing campaigns by calling potential clients and scheduling assessments with our assessors.
  • Maintain office inventory by tracking supplies and placing orders as needed.
  • Schedule and prepare for weekly staff meetings, including creating agendas, taking minutes, and distributing summaries.
  • Manage and safeguard confidential HR and client records in compliance with federal and state regulations.
  • Verify client eligibility for services and coordinate insurance-related tasks, including verification and billing support.
  • Prepare and distribute daily and weekly reports to support team operations.
  • Act as a liaison between the organization and external stakeholders, including referral sources, agencies, and clients.
  • Update and maintain organizational databases with accurate information.
  • Develop and manage social media posts to promote services and maintain the company website to attract new clients.
  • Assist providers with insurance-related processes, including claims, credentialing, and payments.
  • Generate weekly reports for clinicians, summarizing appointments, new referrals, and outstanding progress notes.
Qualifications: To be considered for this role, candidates should demonstrate the following:
  • At least 2 years of experience in an administrative role, preferably in a fast-paced or healthcare-related environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with social media management tools.
  • Strong organizational and time management skills, with excellent attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with integrity and professionalism.
  • A friendly, approachable demeanor with a customer-focused mindset.
  • Capacity to manage multiple priorities and meet deadlines in a dynamic work environment.
  • A valid drivers license and flexibility in scheduling.
  • Experience in the healthcare industry or familiarity with insurance processes is a plus.
  • Spanish-speaking skills are a bonus.
